Getting Started

Before getting started, we have our guide on Installing and Logging into the Evox App - where you can access the download links for the app, as well as find advice on getting set up.

From here, you also need

  • Permissions to create absences.
  • An active contract.

Please contact your administrator or the Evox team if you believe that you need either of these

Navigation

After logging in, if you choose the Absences Module (1), this will take you to the Absences Homepage:

2) Contract Selection Dropdown
3) New Absence Button
4) Absence List

From here, you can see your entitlement (represented by a doughnut chart),  the contract selection dropdown (2), the ability to create a new absence requests (3), and any active leave requests (drafts, upcoming, and pending approval.)

 

Submitting a Request

To submit a new request: 

Firstly, click on the “New absence request” on your homepage (3, above).

This will bring you to the new absence page.  From here you have a few different fields:

The first link you'll notice is “View absence calendar" - by clicking here, you can see what leave the rest of your team has, and can plan accordingly.

Once you're satisfied with your dates, fill out the fields on the form - ideally top-to-bottom:

After selecting your days, and selecting whether you want half (AM or PM) or Full days (if your Business Unit works by hours, you'll be asked how many hours you'd like on a given day), a description, and then finally - to select your approvers (at least one) - after which you can either 

  • Cancel (Bin icon)
  • Save a Draft (Floppy Disk icon)
  • Submit

After pressing submit, the holiday request will go to the approvers you specified, as though you were submitting on the Web App.

Your approver will receive a notification of your request.

You can view your requests anytime in the Web app - requests submitted via the app are viewable across both platforms.

 

Editing and Cancelling Requests

Provided you have an existing request in the system, you can open the card on the Absences homepage in order to make any amendments or request that your Absence be cancelled

Navigating to a request to be amended

From here, make any amendments (such as changing the dates/description) and then resubmit for approval. By pressing “Amend Absence”

Alternatively, you can press the bin icon to submit a cancellation request - if you no longer need the Absence.

Request Approvals

If you are responsible for authorising requests, you can access these from the Settings page:

From here, you can see the items where you have been selected as an approver:

Once you've tapped on the request you want to review, you'll be taken to the approval page:

On the approval page, you have a few different elements:

Item

Description

Employee Name Name of the requester
Absence Type The type of absence requested
Description Detail given by the requester
Approver(s) The names of people that are allowed to Reject/Approve this absence - the grey button (1) can be used to reassign the absence request to another valid user
Dates The dates requested by the user
Conflicts A feature unique to the app - the Conflicts table (2) shows you where there are clashes amongst your team - to help with resourcing and ensuring that you have sufficient coverage.
Reject/Approve controls Buttons to Reject or Approve an absence - pressing either of these buttons will inform the user by notification (if they're logged into the app), and by email - as though they
