Bulk update of pay rates
Now and again a business will opt to do a generic pay rise across their workforce, or a large chunk of it. Rather than manually closing off the old placement and creating the new, it is possible to import updated pay rates through the Accounts tab in Evox to automate this process.
Export Current Rates
Export the current rates of pay for review:
- Navigate to the Reports tab
- Click on the Placement Rates report under the labour heading

- Make sure the format is set to Excel
- Set the Date to the date from which the pay rise will be effective
- Apply any necessary filters to get the details of those involved in the pay rise
- Click the Export button to generate an excel file

Update Rates
Using the excel file produced:
1.For anyone who has a rate that is changing:
- Update column L with the amended pay rate for each rate that is changing
- If there are rates that are staying the same, leave them untouched on the spreadsheet
2. For anyone who is not changing rates:
- Delete their rows from the spreadsheet as there is no need to create a new placement for them
3. Rename the spreadsheet tab from Sheet1 to PlacementRates
4. Save the updated spreadsheet to your local files

Points to note:
- Do not edit any columns prior to column L
- You can use columns N onwards at the end of the spreadsheet for calculations if required
- All personnel should have current open placements
Import the new rates
- Navigate to the Accounts tab > Import Rates page (under the payroll integration heading)
- Click the Create button to create a new import

- Set the Name to a unique name that explains the purpose of the import, eg Annual Payrise 2026
- Click the Choose File button and select the file that you saved locally
- Set the Template to Rate Upload Template
- Leave the Work Sheet as PlacementRates
- Set the Effective From date to the date from which the new rates will be effective
- Click the Start Import button
- This will then close the open placements, setting the end date to the day prior to the Effective From date.
- This will create new placements with the rates defined in the spreadsheet. The start date of the placements will be the specified Effective From date
