The Purchase Invoice export page is accessible via the Accounts tab > Export Purchase Invoices (under the Purchase Ledger heading)

As with the other export pages when you click on this link you will be taken to a page that allows you to view and previously exported data, as well as creating a new export.
To create a new export, select the Create button:

You will then be presented with the Purchase Invoice Export – Create page. Here you should define the parameters for the export:
- Accounts Database
This should be predetermined to select the correct accounts database, if this is blank you may not have the required permissions to perform the export
- Department
Defaults to All, but can be used to export one department at a time if required
- Include Company Invoices
Defaults to true, untick to exclude
- Financial Date
This is the date the invoices will be posted on, defaults to today’s date
- Batch Reference
This is a free text field and is a mandatory field, this will be used to name the export in the accounts database
- Description
This is a free text field and is an optional field, this does not export to the accounts database but may be used to reference the export in Evox
Once these fields have been completed you should choose the Next button to move to the Purchase Invoice Export – Assign Invoices page where you will be presented with all of the Purchase Invoices that are available for export.

The Close button will close the page and return you to the main page
The Back button will return to the previous page
Using the tick boxes to the left of the purchase invoice lines, you can select and deselect the invoices to be added to the export:

Once you have selected all of the invoices to be included, click the Next button to begin the validation stage of the invoices.

If there are any validation errors, you will be presented with a summary of these within the Purchase Invoice Export - Validation page.
You can click the Refresh button to check the latest progress of the validation.
If there are no validation errors, then you will be presented with the Purchase Invoice Export – Process page. This will show you a summary of the invoices to be exported:

The Close button will close the page and return you to the main page.
The Assign Invoices button will return you to the previous page.
The Export button will begin the export to the selected accounts database. If this is successful, then you will be presented with the Purchase Invoice Export – Confirm page which looks like below:

Here you will have the option to Confirm as Exported once the export has been checked and confirmed in the accounts database. Once you choose this option the Export will be deemed complete, and you will see the Purchase Invoice Export – Summary page:
