Creating a Standard Project
Create the Project
- Click on the Project Control tab
- Click on the Create Enquiry & Project button
- The only fields you need to complete are:
- Client should be set to the client for whom the project is being created
- Contact should be set to your primary contact within the client’s business
- Project Title should be set to the title of the project you’re creating
- Description should be a brief description of your project
- Facility should be set to Beauly Quarry
- Project Type should be set to the type that best describes your project
- Project Value Type should be set to Lump Sum (unless you’re doing
- Value should be set to an estimated value of the overall project
- Project Manager / Coordinator should be set to the name of the person managing the project
- Click the Create button to create your project
Add the Project Activities
When you’ve created your project, the system will take you to a View Project screen. There will be a series of blue tabs underneath the main project details.
- Click on the blue Activity tab – you’ll see a default activity titled GEN
- For each activity that you want to add under the project:
- Click the Create button at the top of the activity list
- Set the Parent Job as the job under which your activity will sit
- Set the Description to a short, concise summary of your activity
- The Charge Type should be left at lump sum
- Click the Save button to create the activity
- If you want to upload any documents associated with that activity, do so in the Attachments tab
- Click Close to close the activity pop-up
Changing the status of an activity
Once work is finished on an activity within the project, you can close it off. This is really just an indicator that the activity is complete, but it will also stop anyone logging more costs (either purchases or timesheets) against the activity going forward.
- Open the project that you’re interested in through the Project Control tab
- Click on the blue Activity tab to bring up the list of activities within that project
- In the right-hand column you’ll see a status saying either Open (green) or Closed (red)
- To close an open activity:
- Click on the green Open Status
- Click the Close On radio button and enter the date from which no further POs or time should be logged
- Click the Save button to close the activity
- To re-open a closed activity:
- Click on the red Closed status
- Click the None radio button
- Click the Save button
- When prompted Confirm that you want to open the activity
Changing the status of a project
This is generally only ever done by the Finance team. They’ll close a project once all sales invoices have been issued by:
- View the project to be closed
- Click the blue Project Closeout tab at the foot of the main project details
- Click the Close Project button
