Evox Support Centre

Every project has a job at the heart of it, but you can also have stand-alone jobs. There are three main types: 

  1. Overhead jobs for recording generic business costs that cannot be costed to a project 
  2. Reallocation jobs for recording generic business costs that are to be spread across projects in the month 
  3. Recruitment jobs for assigning client-specific recruitment placements to 

Overhead Job 

  1. Click on the Costings tab 
  2. Click on the Manage jobs not specific to a client (incl Overheads) link in the top section of the screen 
  3. Click the Create New button at the top-right of the screen 
    1. Set the Name to a descriptive name that summarises the purpose of the job 
    2. Set the Job Code to the number that you’d like that job to have 
    3. Set the Accounts Export Code to the same as the Job Code 
    4. Set the Department to the appropriate department 
    5. You can choose to assign a Job Manager if you want, but it is optional 
    6. Set the Start Date to the date that the job became active 
    7. Ensure that the Overhead box is ticked 
    8. Ensure that the Active box is ticked 
    9. Click the Save button to create the overhead job 
  4. The job will appear at the bottom of the list until the screen is refreshed, when it will go into order of job code 
  5. Click the Activities link on the far right of the table 
  6. Click the Add New button at the top-right of the screen 
    1. Set the Activity Code to the code you’d like displayed – this is normally the next sequential code 
    2. Set the Name to a descriptive name that summarises the purpose of the activity 
    3. Ensure that the Active box is ticked 
    4. Click the Save button to create the activity 
  7. Repeat step 6 for each activity to be added to the job 
  8. Click Back when you’re finished and ready to return to the list of overhead jobs 

Reallocation Job 

  1. Click on the Costings tab 
  2. Click on the Manage jobs not specific to a client (incl Overheads) link in the top section of the screen 
  3. Click the Create New button at the top-right of the screen 
    1. Set the Name to a descriptive name that summarises the purpose of the job 
    2. Set the Job Code to the number that you’d like that job to have 
    3. Set the Accounts Export Code to the same as the Job Code 
    4. Set the Department to the appropriate department

    6. Set the Start Date to the date that the job became active

Recruitment Job 

To create a new job: 

  1. Check the next available job number for the department in which this job is to be created 
  2. Click the Create New button at the top-right of the screen 
  3. Complete the pop-up as follows: 
    1. Name should be set to the name of the client (plus any additional info, if for something specific) 
    2. Job Code should be set to the next available job number identified above 
    3. Accounts Export Code should be set to match the job code 
    4. Department should be set to the appropriate department 
    5. Client should be set to the appropriate client 
    6. Overhead should be deselected 
    7. All other fields should be left as they are 
    8. Click the Save button to create the job 
  4. That creates the job – now we need to create a default activity to log costs and sales against: 
    1. Click the Activities link to the right of the job you’ve just created (it’ll be at the bottom of the list) 
    2. Click the Add New button 
    3. Set the Activity Code to GEN 
    4. Set the Name to General 
    5. Click the Save button to finish the job
